Job Description

The proposed position of Warehouse Assistant is critical to fulfilling the operational and to expedite the implementation of the newly awarded DFAT-IRC -supported WASH project, ensuring timely implementation, accountability, and achievement of the project’s intended outcomes.

Key Duties & Responsibilities:

  • Support the Logistics & Procurement Manager in the day-to-day management of warehouse operations and inventory control activities.

  • Receive, inspect, count, and verify all incoming materials, tools, equipment, spare parts, consumables, and supplies against delivery notes, purchase orders, and Goods Received Notes (GRNs).

  • Ensure proper storage, arrangement, labeling, and safeguarding of all materials and equipment in accordance with warehouse management procedures.

  • Maintain accurate stock registers, bin cards, stock cards, inventory records, and warehouse documentation.

  • Issue materials, tools, equipment, and consumables to project staff based on approved requisitions and maintain proper issue records.

  • Monitor stock levels and promptly notify the Logistics & Procurement Manager when stock reaches minimum threshold levels.

  • Conduct regular physical inventory counts and stock verification exercises and reconcile physical stock with inventory records.

  • Support periodic inventory audits, donor verifications, and compliance reviews by ensuring availability of accurate warehouse records.

  • Ensure proper handling, storage, and preservation of materials to prevent damage, deterioration, theft, or loss.

  • Monitor movement of project assets, tools, and equipment entering or leaving the warehouse and maintain proper tracking records.

  • Prepare warehouse reports including stock balances, stock movement reports, inventory status reports, and consumption summaries.

  • Assist in loading, unloading, transportation, and dispatch of project materials and equipment to field locations.

  • Ensure warehouse cleanliness, safety, organization, and compliance with occupational health and safety requirements.

  • Report damaged, expired, obsolete, lost, or missing items to the Logistics & Procurement Manager and assist in investigation and documentation.

  • Maintain proper filing and archiving of warehouse-related documents including delivery notes, GRNs, issue vouchers, stock registers, and inventory records.

  • Support emergency procurement and distribution activities during emergency response operations when required.

  • Perform any other warehouse, logistics, and inventory-related duties assigned by the Logistics & Procurement Manager or Programme Manager.

Experience

  • At least 5 years
  • The applicants should have experience in the following business area(s): NGO, Development Agency

Education

Bachelor of Business Administration (BBA) in Supply Chain Management.

Masters/MBA/MBS will be preferred.

Additional Requirements

  • Age At most 40 years

Proficient in Computer skills in MS Office Suite (Word, Excel, PowerPoint).

Work experience in Cox's Bazar is preferable.

Fluency in English and Bangla; knowledge of Rohingya/Chittagonian dialect is an asset.
