Personal Secretary to Chairman
Job Description
Reporting to the Chairman and performing secretarial and administrative duties effectively & efficiently.
Preparing, maintaining schedules relating to meetings and appointment for the Chairman.
Ensuring travel arrangement which includes but not limited to visa arrangement, hotel booking, flight confirmation, liaison with govt bodies like; Department of Immigration and Passport (DIP) etc. in consultation with the Chairman.
Arrange related formalities with the concerned Embassies for obtaining intended visas for Chairman.
Handle confidential documents ensuring they remain secured.
Maintaining close liaison with govt bodies like; Department of Environment (DOE), Department of Inspection for Factories and Establishments (DIFE), Department of Labor (DOL), City Corporation, different Ministries and other law enforcement agencies.
Managing internal and external correspondence on behalf of senior management.
Responsible for sending invitation letter, flight confirmation, accommodation & fooding, transport support etc. for the foreign guests with the consultation of Management.
Ensure professional level greetings and smooths logistics for guests/visitors of the Chairman and handling requests / queries and manage them appropriately.
Maintain database on different information, reports, addresses, contact Nos etc.
Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Chairman.
Facilitate coordination between Top Management offices and various group companies, ensuring smooth information flow and effective implementation of decisions.
Maintain effective communication and coordination among multiple Top Management personnel to ensure alignment of schedules, priorities, and organizational objectives.
Domestic and foreign tour.
Carry out any other relevant duties & responsibilities as vested upon time to time
Experience
- At least 7 years
- The applicants should have experience in the following business area(s): Pharmaceutical/Medicine Companies, Group of Companies
Education
- Master of Business Administration (MBA)
Diploma in Secretarial Management will be preferred.
Additional Requirements
- Age At least 30 years
- Only Male
Strong academic background and excellent communication skills will be considered an advantage.
