Job Description
Job Summary: We are seeking a proactive and detail-oriented Executive/Senior Executive – Export Documentation & Operations to manage export shipments by Ocean and Air Freight. The incumbent will be responsible for end-to-end shipment coordination, export documentation, customer communication, overseas agent coordination, and ensuring timely execution of shipments in compliance with company SOPs and international trade regulations.
Export Operations
- Handle end-to-end export shipments for Ocean Freight (FCL/LCL) and Air Freight.
- Coordinate bookings with shipping lines, airlines, consolidators, and overseas agents.
- Arrange cargo movement with transporters, CFS/ICD, warehouses, and customs brokers.
- Monitor shipment progress from booking confirmation until vessel/flight departure.
- Ensure cargo readiness and compliance with carrier cut-off times.
- Follow up on shipment milestones and proactively resolve operational issues.
Export Documentation
- Prepare and verify export documents including:
- House Bill of Lading (HBL)
- Master Bill of Lading (MBL)
- House Air Waybill (HAWB)
- Master Air Waybill (MAWB)
- Shipping Instructions (SI)
- Verified Gross Mass (VGM)
- Certificate of Origin (if applicable)
- Export declarations and supporting documents
- Ensure documentation accuracy before submission.
- Coordinate document amendments whenever required.
- Dispatch original shipping documents to customers or overseas agents within the agreed timeline.
Customer & Overseas Agent Coordination
- Maintain regular communication with customers regarding shipment status.
- Coordinate with overseas offices and agents regarding shipment instructions and document requirements.
- Respond promptly to customer inquiries and operational issues.
- Build strong relationships with customers, shipping lines, airlines, and overseas partners.
Billing & Cost Control
- Verify vendor invoices and operational expenses.
- Prepare job files for billing.
- Coordinate with the Finance Department for timely invoicing.
- Ensure operational profitability by monitoring shipment costs.
Experience
- 2 to 6 years
- The applicants should have experience in the following business area(s): Freight forwarding
Additional Requirements
- Age 30 to 45 years
- Only Female
Experience:
- At least 2 years of relevant experience in Export Documentation & Operations within a Freight Forwarding or Logistics company.
- Experience handling both Sea Freight and Air Freight export shipments.
- Experience dealing with overseas agents and international customers will be an advantage.
Preferred Qualifications:
- Experience in handling Pharmaceutical export shipments will be given preference.
- Candidates with experience in RMG, Textile, Leather, Footwear, FMCG, Electronics, Engineering, Chemicals, or other export-oriented industries are also welcome to apply.
Required Knowledge:
- Strong knowledge of Export Documentation.
- Sound understanding of Incoterms 2020.Knowledge of FCL, LCL, and Air Export procedures.
- Understanding of Bangladesh export procedures and customs requirements.
- Familiarity with shipping line and airline booking processes.
- Knowledge of cargo cut-off, SI cut-off, VGM submission, and carrier documentation requirements.
