Job Description

Role Summary

The position of Audit and Reporting team acts as the primary analyst and enablement lead for departmental compliance, quality control, and subcontractor performance. This role is dedicated to identifying operational gaps between official Quality Standard Guidelines (QSG) and actual processed orders through both desk-based data audits and on-site physical office audits. Beyond diagnostics, this position is responsible for designing and delivering targeted training programs directly to subcontractors—covering quality standards, system changes, and process improvements—to proactively drive subcontractor efficiency and continuous operational alignment.

Key Responsibilities

1. Quality Auditing & Discrepancy Analysis

  • QSG Compliance: Conduct systematic, comprehensive audits of processed orders against established Quality Standard Guidelines (QSG) to identify technical or financial discrepancies.

  • Root Cause Identification: Perform deep-dive analyses to determine why discrepancies occur. Categorize issues systematically (e.g., system/software errors, manual human error, or subcontractor/vendor misunderstandings).

  • Calibration Support: Participate in regular quality calibration sessions to ensure auditing standards remain objective and aligned with changing organizational goals.

2. On-Site Audits & Subcontractor Enablement

  • Physical Office Audits: Conduct scheduled on-site visits to subcontractor offices to observe live workflows, identify ground-level bottlenecks, and diagnose the root causes of recurring errors.

  • Subcontractor Solutioning: Provide direct, constructive guidance to subcontractors. Work collaboratively with them to troubleshoot technical challenges and establish immediate on-site corrective actions.

  • Strategic Feedback Loop: Translate physical audit findings into actionable, high-level insight reports for company leadership, identifying key organizational improvement areas.

3. Subcontractor Training & Capability Building

  • Training Needs Analysis: Identify systemic skill gaps, process misunderstandings, and technical hurdles among subcontractors based on audit data and field observations.

  • Curriculum Delivery: Develop and deliver targeted training sessions and workshops for subcontractors focusing on QSG quality standard alignment, efficient process workflows, software and system tool usage, and facilitating smooth transitions during guideline and policy changes.

  • Training Evaluation: Monitor post-training subcontractor performance to measure the effectiveness of training interventions and adjust programs accordingly.

4. Reporting & Data Visualization

  • Periodic Reporting: Generate and maintain daily, weekly, and monthly performance dashboards highlighting accuracy trends, compliance rates, and overall subcontractor performance.

  • Visual Documentation: Design highly visual training aids, including presentation slides, training guides, and "Visual Error Samples" (side-by-side correct vs. incorrect image comparisons) to support both direct subcontractor training and internal training sessions led by the Service Excellence Specialist.

  • Data Integrity: Validate and manage all audit findings within a centralized data library to enable reliable, long-term trend analysis.

5. Continuous Improvement Support

  • Feedback Loop Integration: Collaborate closely with the Process Automation Team by supplying structured data on recurring manual errors to help prioritize high-impact automation projects.

  • Target Monitoring: Actively track departmental and subcontractor progress against established accuracy and quality metrics, proactively alerting leadership to sudden dips or systemic quality issues.
